Private Booking & Exclusive Hire Policy

SONG Art & Craft Workshops

At SONG Art & Craft, we prepare materials, equipment, studio space, and instructor schedules in advance for all private bookings. For exclusive sessions, designated studio zones are closed to the public to ensure a private and high-quality experience.

This policy applies to all private and group bookings.


1. Booking Options and Base Pricing

Private booking fees include exclusive use of the designated studio zone, all required materials, and professional instruction.

Zone 1 - Lampworking Studio

  • 1.5 Hours: £1,008 (Maximum 16 guests)

  • 2.0 Hours: £1,344 (Maximum 16 guests)

Zone 2 - Mixed Media Studio

  • Glass Painting: £672 (Maximum 16 guests | 2 Hours)

  • Stained Glass: £432 (Maximum 6 guests | 2.5 Hours)

  • Stained Glass: £648 (Maximum 6 guests | 5 Hours)

Note: Metalwork stations (maximum 4 guests) are available on a bespoke quotation basis.


Full Venue Hire (Groups of 16+)

  • Recommended Activity: Glass Cup Painting

  • Rate: £48 per person (includes access to both Zone 1 and Zone 2)

Important: All bookings are priced based on reserved capacity, not actual attendance. No refunds are provided for non-attending guests.


2. Exclusivity Surcharge (Venue Hire Fee)

As private bookings require closure of studio areas and allocation of dedicated staff and resources, an exclusivity surcharge applies on top of the base fee:

  • Monday to Thursday: +25% to 30% of base fee

  • Friday to Sunday: +50% of base fee

  • Calculation: Total Fee = Base Fee + (Base Fee × Applicable Surcharge %)


3. Nature of Private Booking & Instruction

Exclusive Access

During your booking, the reserved studio zone (or full venue) will be closed to the public to provide a private experience for your group.

Instructional Format

  • A structured group demonstration will be delivered at the start of the session

  • Tutors remain present throughout to supervise and assist

  • Immediate technical guidance is available whenever guests require help

Service Scope

Private bookings provide a guided workshop experience. They do not include continuous one-to-one instruction or personalised concierge-style service. However, tutors are always available for direct technical assistance throughout the session.


4. Payment, Cancellation & Rescheduling

Due to advance preparation, staffing commitments, and the inability to resell short-notice bookings, the following terms apply:

Payment

  • Full prepayment (100%) is required to confirm and secure the booking

Cancellation & Rescheduling

  • 7+ Days Notice:

  • Full refund, or

  • One-time complimentary rescheduling

Note: Weekday bookings cannot be rescheduled to weekends.

  • 3 to 7 Days Notice (72–168 hours):

  • 50% refund

  • 50% retained to cover operational and opportunity costs

  • Less than 72 Hours Notice:

  • Non-refundable and non-reschedulable

Rationale: A private booking locks out our entire schedule and prevents other bookings from being accepted. Late cancellations result in unrecoverable operational losses that cannot be offset on short notice.

We reserve the right to resell cancelled time slots. Cancellation fees still apply as compensation for administrative, staffing, and opportunity costs.

Fair Use & Discretion

These terms reflect the genuine operational costs of private bookings. However, exceptional circumstances may be considered at our discretion.

5. Attendance, Timing & Conduct

  • Attendance: Fees are based on the reserved booking, not actual attendance

  • Late Arrival: Sessions will end at the scheduled time regardless of arrival time

  • Session Flow: Activities are structured to run within the allocated time to ensure safety and operational continuity

6. Changes by SONG Art & Craft

In rare circumstances, such as instructor illness, safety concerns, or operational issues, SONG Art & Craft reserves the right to reschedule a booking. In such cases, customers will be offered one of the following:

  • Full refund

  • 110% credit (gift card)

  • Rescheduling to an alternative available date

7. General Terms

  • SONG Art & Craft reserves the right to make reasonable adjustments to workshop format where necessary

  • Bookings are considered confirmed once full payment is received

  • We reserve the right to decline or modify bookings where operational constraints require
